CLIENT ACCOUNT ASSOCIATE - RECORDS ASSISTANT

DUTIES AND RESPONSIBILITIES

Position provides support to Rep Payee Coordinator, Accounting Manager, and Social Services department and reports to the Director of Operations. Responsible for maintaining documentation systems, representative payee bookkeeping (account reconciliation and maintenance), reporting and daily mail processing.  Accountable for accuracy in all document handling and bookkeeping responsibilities, as follows:

  • Performs monthly Federal Express account and True Link card reconciliations.
  • Reconciles ABLE accounts in spreadsheet quarterly.
  • Scans and names receipts in advance of Social Services invoicing.
  • Scans and mails checks for payment of client and corporate bills.
  • Assists with credit card reconciliation as directed by Rep Payee Coordinator.
  • Deposits live checks and records into QuickBooks.
  • Processes all Social Service Department mail to ensure mail is accounted for, date-stamped, scanned and named based on established filling convention.
  • Interacts with Social Security and other agencies via telephone and email.
  • Maintains filing systems, both electronic and paper.
  • Prepares Medicaid applications/renewals and gathers pertinent financial documentation and reports.
  • Assist with filing Guardianship Reports (processes all Guardianship Reports in conjunction with Social Services department based on client’s anniversary date and ensures delivery to correct Surrogate Court).
  • Completes annual Rep Payee Reports online.
  • Assists with other projects as requested by Agency Directors.

SKILLS REQUIRED

  • Strong computer skills in MS Office: Word, Excel, Outlook, QuickBooks and other data management systems
  • Responsible, accountable and able to work independently with minimal supervision and cooperatively as part of a team
  • Strong customer service and interpersonal skills
  • Effective verbal and written communication skills
  • Sound ability to plan and prioritize responsibilities
  • Willingness to learn and advance beyond basic job responsibilities
  • Demonstrates a high degree of professionalism
  • Strong attention to detail and analytical aptitude with excellent problem-solving abilities
  • Exhibits a high degree of discretion in dealing with confidential documents and information
  • Exceptional computation skills

EDUCATION/EXPERIENCE:  Minimum of an Associate degree in related field or 5 years of office accounting or bookkeeping experience.

TRUST COORDINATOR

Job Description: Full time position providing case management and financial services to people with disabilities who have Special Needs Trusts with PLAN|NJ. You will assist beneficiaries in using their trust funds while maintaining compliance with benefits programs like SSI and Medicaid. This includes working with beneficiaries in planning/budgeting for their needs, processing checks, maintaining documentation, collaborating with families or legal representatives and advocating for quality of life.

What we’re looking for:

Experience working with people with disabilities.

Must have excellent attention to detail, good organizational skills, the ability to work independently and handle multiple priorities.

Strong soft skills include communication, collaboration, problem-solving and time management.

Must possess excellent command of the English language for speaking, understanding, comprehending written material and writing effectively. Proficiency in Spanish is a plus.

Work experience in banking, finance, bookkeeping or accounting with a high level of customer care preferred.

Clean background check and satisfactory credit report.

Job Type: Full-time

Pay: $20.00 – $23.00 per hour

Office based hours: 40 per week, Monday-Friday, 9:00am-5:00pm
